This Privacy Policy explains how RapidCoach (“RapidCoach,” “we,” “us”) collects, uses, and protects information when you use our coaching scheduling and attendance application and website (the “Service”). Questions? Reach us through our contact form.

Who this policy covers

The Service is used by two audiences: coaches (members of a coaching organization who manage schedules, athletes, and attendance) and parents/guardians (who receive read-only, scoped visibility into their own athlete’s schedule). This policy applies to both, and to visitors of our website.

Information we collect

  • Account information (coaches): name, email address, phone number, and your password (stored securely/hashed by our authentication provider). Organization name and type.
  • Athlete and guardian records (entered by coaches): athlete first/last name, date of birth and/or age, sport(s), school, grade, optional address, and one or more parent/guardian contacts (name, email, phone, relationship). We deliberately do not collect medical information.
  • Communication preferences & consent: whether a parent, guardian, or eligible athlete has opted in to text (SMS) notifications, the date consent was captured, and any later opt-out — so we send only to those who agreed and honor opt-outs.
  • Session data: calendar sessions, attendance, and coach notes you create.
  • Payment information: processed by a third-party payment processor. We do not store full card numbers on our systems.
  • Support & contact: the name, email, and message you submit through our contact or in-app support forms.
  • Usage & device data: collected via analytics cookies (e.g., pages viewed, approximate location from IP, browser/device), and technical data used for security (rate limiting, bot protection).

Children’s information

The Service is intended for use by coaches and organizations, not by children. Athlete records may relate to minors, but they are entered and managed by the coaching organization — we do not knowingly collect personal information directly from children. Guardian contact details are used so coaches can reach families and are kept visible only to the organization. We minimize what is stored and do not collect medical data. If you believe a child’s information has been provided improperly, contact us and we will address it.

How we use information

  • Provide and operate the Service — scheduling, rosters, attendance, and notes.
  • Process subscriptions and payments, and manage free trials.
  • Send email and one-way text (SMS) notifications on a coach's behalf — reminders, cancellations, schedule changes, and important updates — only to recipients who have opted in, and never to imported contacts who have not.
  • Communicate with you about your account, support requests, and service updates.
  • Maintain security, prevent abuse, and troubleshoot.
  • Understand usage and improve the Service (analytics).

We use contact information, including email addresses and mobile phone numbers, to send account-related, coaching-related, scheduling-related, and operational communications. SMS notifications are sent only to recipients who have opted in or who otherwise have consent recorded through RapidCoach’s approved SMS workflow. For minor athletes, RapidCoach is designed to send SMS notifications to parents or guardians unless the product workflow permits otherwise.

How we share information

We do not sell personal information, mobile phone numbers, or SMS consent data. We do not share SMS consent data, mobile phone numbers, or SMS messaging data with third parties for their own marketing or promotional purposes. We may share information with service providers that help us operate RapidCoach, including hosting, email, analytics, payment, and messaging providers, only as needed for them to provide services to us. Specifically, we share information only with:

  • Service providers that help us operate the Service — such as cloud hosting and data storage, payment processing, website analytics, email delivery, text-message (SMS) delivery, and security/anti-abuse — who process data on our behalf under agreements that limit how they may use it, and who are not permitted to use SMS consent records, mobile phone numbers, or SMS messaging data for their own marketing or promotional purposes.
  • Within your organization: coaches in the same organization may see shared athletes, categories, groups, and sessions, per the app’s access controls.
  • Legal & safety: when required by law, or to protect rights, safety, and the integrity of the Service.
  • Business transfers: in connection with a merger, acquisition, or sale of assets.

Text (SMS) Notifications

Coaches on eligible plans can send one-way text notifications through RapidCoach for coaching-related updates such as session reminders, practice reminders, cancellations, schedule changes, location changes, team announcements, and other operational coaching-related messages.

RapidCoach sends SMS notifications only to parents, guardians, eligible athletes, and other recipients who have opted in or who otherwise have consent recorded through RapidCoach’s approved SMS workflow. Imported contacts are not automatically texted.

For minor athletes, RapidCoach is designed to be parent/guardian-first. If an athlete’s age is unknown, RapidCoach may treat the athlete as a minor for SMS notification purposes.

SMS notifications are one-way. Replies are not monitored through RapidCoach as a communication channel with the coach. If a recipient needs to contact a coach, coaching organization, or team, they should use the contact information provided by the coach or organization.

Message frequency may varybased on the coach’s schedule, updates, and use of the Service, typically a few messages per week per recipient. Message and data rates may apply. Consent to receive SMS notifications is not a condition of using RapidCoach.

Recipients can opt out of SMS notifications at any time by replying STOP to a RapidCoach text message or by asking the coach to remove their number. Recipients may reply HELP for help. After opting out, a recipient may receive one final confirmation message.

RapidCoach does not share, sell, rent, or otherwise provide mobile phone numbers, SMS opt-in data, or SMS consent records to third parties or affiliates for their own marketing or promotional purposes.

RapidCoach may share SMS-related information with service providers that help us operate the Service, including SMS delivery providers, only as needed for those providers to provide services to RapidCoach. These providers are not permitted to use SMS consent records, mobile phone numbers, or SMS messaging data for their own marketing or promotional purposes.

Cookies and tracking

We use essential cookies to keep you signed in and secure your session, and analytics cookies (Google Analytics) to understand site usage. You can control cookies through your browser settings; disabling essential cookies may break sign-in.

Data retention

We retain your information while your account is active. Athlete records are “soft-deleted” (hidden but retained) so historical session and attendance data stays intact; trial and subscription data is retained per our records obligations. You may request deletion of your data (subject to legal retention requirements) by contacting us.

Security

We protect data with encryption in transit, row-level access controls that isolate each organization’s data, and least-privilege access for our systems. No method of transmission or storage is 100% secure, but we work to protect your information.

Your rights

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, and to opt out of analytics. To exercise these, reach us through our contact form. Coaches are responsible for requests relating to athlete/guardian records they manage.

Your choices

You may opt out of SMS notifications by replying STOP to a RapidCoach text message. You may also contact your coach or RapidCoach for help updating communication preferences. Opting out of SMS notifications does not necessarily opt you out of email, in-app, or other non-SMS communications.

Where data is processed

The Service is operated from the United States, and our providers may process data in the U.S. and other locations.

Changes to this policy

We may update this policy from time to time. We’ll revise the “Last updated” date above and, for material changes, provide additional notice where appropriate.
