Terms of Service

These Terms of Service (“Terms”) govern your access to and use of RapidCoach (the “Service”). By creating an account or using the Service, you agree to these Terms. If you don’t agree, don’t use the Service.

1. The Service

RapidCoach provides coaching scheduling, athlete/roster management, and attendance tracking tools for coaches and coaching organizations. We may update, add, or remove features over time.

2. Accounts and eligibility

  • You must provide accurate account information and keep your credentials secure. You're responsible for activity under your account.
  • You must be old enough to form a binding contract and authorized to act for your coaching organization.
  • You're responsible for ensuring you have the right to enter and manage any athlete and parent/guardian information you add — including, where applicable, the consent of parents/guardians of minors.

3. Subscriptions and billing

  • New organizations get a 14-day free trial with no credit card required, so you can evaluate the Service before paying.
  • Paid plans (“Standard”) are billed in advance on a monthly or annual basis through a third-party payment processor, and renew automatically until cancelled.
  • You can cancel at any time; cancellation stops future renewals. Your paid access continues until the end of the current billing period.
  • We may change prices or plan features. We'll give notice of price changes before they apply to your next renewal.
  • You're responsible for any taxes associated with your subscription unless we state otherwise.

4. Refunds

Because we offer a 14-day free trial, you can fully evaluate the Service before you are ever charged. As a result:

  • Subscription fees are generally non-refundable, and we do not provide refunds or credits for partial billing periods, unused time, or features not used, except where required by law.
  • When you cancel, you keep access through the end of the period you’ve already paid for; you are not charged again afterward.
  • We will refund duplicate charges or clear billing errors. If you believe you were billed in error, contact us within [30] days and we’ll make it right.

5. Acceptable use

You agree not to:

  • Use the Service for any unlawful purpose or to store data you don't have the right to store.
  • Attempt to access other organizations' data, probe security, or disrupt the Service.
  • Scrape, resell, or reverse-engineer the Service except as permitted by law.
  • Upload malicious code or misuse the messaging/contact features.

Users may not use RapidCoach to send unsolicited messages, spam, promotional messages without proper consent, misleading content, abusive content, or messages unrelated to legitimate coaching activities. Coaches and organizations are responsible for ensuring that recipients have agreed to receive SMS notifications before enabling SMS for those recipients. Coaches and organizations may not use RapidCoach to bypass parent or guardian communication safeguards for minor athletes.

6. SMS Notifications

RapidCoach may offer one-way SMS notifications to help coaches, athletes, parents, and guardians receive coaching-related updates. SMS notifications may include session reminders, practice reminders, cancellations, schedule changes, location changes, roster or team updates, and other operational messages related to coaching activities.

By providing a mobile phone number and opting in to receive SMS notifications, you agree to receive text messages from RapidCoach on behalf of your coach, coaching organization, or team. Message frequency may varybased on the coach’s schedule, updates, and use of the Service, typically a few messages per week per recipient. Message and data rates may apply. Consent to receive SMS notifications is not a condition of using RapidCoach.

SMS notifications are intended for one-way informational purposes. Replies to RapidCoach SMS notifications are not monitored as a communication channel with your coach. If you need to contact your coach, coaching organization, or team, you should use the contact information provided by your coach or organization.

You can opt out of SMS notifications at any time by replying STOP to a text message. After you opt out, you may receive one final confirmation message confirming that your opt-out request has been processed. You may reply HELP for help, if supported.

RapidCoach is designed to be parent/guardian-first for minor athletes. Coaches and organizations may not use RapidCoach to send SMS notifications directly to minor athletes unless permitted by RapidCoach’s SMS workflow and appropriate parent or guardian permission has been recorded. If an athlete’s age is unknown, RapidCoach may treat the athlete as a minor for SMS notification purposes.

Coaches and organizations using RapidCoach are responsible for adding accurate contact information and using SMS notifications only for appropriate coaching-related operational communications. Coaches may not use RapidCoach SMS notifications to send unsolicited, deceptive, harassing, abusive, promotional, marketing, or unlawful messages.

RapidCoach may suspend or disable SMS access for any coach, organization, or user if we believe SMS notifications are being misused, if required by law, if required by our messaging providers, or if necessary to protect recipients, coaches, families, athletes, or the RapidCoach platform.

SMS delivery is not guaranteed. Delivery may depend on mobile carriers, recipient device settings, provider availability, phone number accuracy, and other factors outside of RapidCoach’s control.

7. Your data

You retain ownership of the data you put into the Service (your organization’s athletes, sessions, notes, and contacts). You grant us a limited license to host, process, and display that data solely to provide the Service. Our handling of personal information is described in our Privacy Policy. You are responsible for the accuracy and lawful basis of the data you provide.

8. Intellectual property

The Service, including its software, design, and content (excluding your data), is owned by RapidCoachand protected by intellectual-property laws. These Terms don’t grant you any rights to our trademarks or software beyond using the Service as intended.

9. Termination

You may stop using the Service and close your account at any time. We may suspend or terminate access if you violate these Terms or to protect the Service. After termination we retain or delete data as described in the Privacy Policy.

10. Disclaimers

The Service is provided “as is” and “as available,” without warranties of any kind to the fullest extent permitted by law. We don’t guarantee the Service will be uninterrupted or error-free.

11. Limitation of liability

To the maximum extent permitted by law, RapidCoach will not be liable for indirect, incidental, or consequential damages, and our total liability for any claim relating to the Service is limited to the amount you paid us in the [12] months before the claim.

12. Changes to these Terms

We may update these Terms from time to time. We’ll update the “Last updated” date and, for material changes, provide additional notice. Continued use after changes means you accept the updated Terms.
